Information you provide

When you order, we use information such as your name, contact details, billing and delivery addresses, chosen products and options, order value and transaction references. If a listing offers personalisation, we use the information you submit to fulfil that choice. Please avoid supplying another person's personal information unless you are entitled to provide it for that purpose.

When you contact us, we receive the message, its contact details and any attachments. An order reference, description of a problem or photographs of damaged goods may become part of a support record. Information associated with an account is processed when you create or use that account.

Payment credentials are handled through the payment method you select at checkout. We use order and transaction information, including payment status and refund references, to administer the purchase. Customer service does not ask you to send full card numbers, security codes or banking passwords to arrange a return or refund.

Information from the website and other sources

Our Shopify store and connected services process technical information such as IP address, browser and device details, session identifiers, page interactions and information needed to operate the basket, checkout and privacy controls. Cookies, tags and similar technologies may be involved. The Cookies Policy explains these uses and choices.

We also receive information needed for an order from payment providers, delivery providers and tracking services, such as transaction status, tracking events and delivery updates. If you contact us through a marketplace about an order there, the platform may make the relevant message and order details available for that enquiry.

Why we use information and our legal bases

Purpose Information used Legal basis
Answer a product enquiry or arrange an order you request Contact details, messages, product choices and specifications Steps at your request before entering a contract
Process orders, deliver goods, handle returns and provide related support Order, contact, address, payment-status and delivery information Performance of the contract; legal obligations where applicable
Maintain accounting and other legally required records Relevant transaction and business records Compliance with legal obligations
Protect the store, investigate suspected misuse and resolve disputes Relevant technical records, transaction information and correspondence Legitimate interests in a secure service and fair dispute resolution, balanced against your rights; legal obligations where applicable
Send optional marketing and use consent-based advertising or measurement Marketing choices and relevant contact, device or interaction information Consent where required
Respond to a privacy request or complaint Identity-verification information, request details and relevant records Compliance with data-protection obligations

Providing the essential contact, address and transaction information is necessary to fulfil an order. If it is missing, we may be unable to take payment, deliver goods or locate a purchase. Optional marketing choices are separate from the information required to buy a product.

Marketing and your right to object

You can object to direct marketing at any time, including related profiling. Use an email's unsubscribe link or contact support@randpfusion.shop. You can separately change website advertising choices through Cookie preferences.

If you withdraw consent, we stop the future consent-based use covered by that choice. We may keep a minimal suppression record to ensure that you are not added back to unwanted marketing. Withdrawing marketing consent does not prevent essential order, delivery, return or security messages.

Placing an order, accepting the sales terms or contacting us is not consent to every optional marketing purpose. Cookie choices and email subscriptions are separate controls.

Providers and recipients

Shopify provides the ecommerce platform and associated store infrastructure. It processes information needed to host the store and support shopping, accounts and checkout. Its role can differ for services it provides directly to consumers. Read Shopify's privacy information for those activities.

Google Ads provides advertising and advertising-measurement technology. Subject to the applicable choices and consent, information about device or browser identifiers, visits and interactions can help measure how advertising leads to activity on the store. We do not describe this as anonymous merely because it does not display your name. See how Google uses information from sites using its services.

ParcelPanel/ParcelWILL services, now presented by the provider as CWILL, support enabled post-purchase and tracking features. Information relevant to those functions can include order identifiers, contact or delivery information, tracking references and shipment events. Optional additional features have their own purpose and choices; they are not automatically necessary simply because a tracking service is used. The provider's privacy information explains its processing.

Payment and delivery providers receive the information needed for the selected payment, refund, dispatch or return. Providers of business email, customer communications, security and technical support may also process relevant information for those services. We use the provider categories relevant to the actual transaction rather than treating every provider as having access to every record.

We may disclose relevant information to professional advisers, regulators, courts or authorities where required by law or reasonably necessary for advice, a dispute or protection against fraud. We limit disclosure to what is relevant to the purpose.

Some providers process information on our instructions; others have independent legal responsibilities. Their separate notices apply to those activities. Your consent choices do not replace the protections and responsibilities applicable to necessary order processing.

Processing outside the United Kingdom

Shopify, Google and other providers operate internationally, so information may be processed outside the United Kingdom. Where we arrange a restricted transfer, we use the safeguards required by applicable law, such as a recognised adequacy arrangement or appropriate contractual protections with the necessary UK provisions.

Shopify describes relevant platform arrangements in its Data Processing Addendum. Contact us for information about the destinations and safeguards applicable to your information and how to obtain relevant safeguards, subject to protection of confidential information. A provider's global operations do not mean that every possible country receives every customer's information.

How long we keep information

We retain order and transaction records for the period needed to administer the purchase, deal with returns and complaints, and meet applicable accounting, tax and legal obligations. A specific legal requirement or an unresolved claim may require relevant records to be kept longer than routine customer-service activity.

For enquiries, personalisation instructions and support attachments, we consider why the information was collected, whether it is still needed to resolve the matter, the relevant consumer-rights or claims period, and whether a legal duty requires retention. We do not treat every attachment as something to keep indefinitely.

Marketing details are used while the relevant permission and purpose remain valid. A limited suppression record may remain after an unsubscribe to respect that choice. Technical and cookie-related retention depends on the particular service, purpose and configuration. We assess those records separately from accounting records.

When information is no longer needed for an applicable purpose, it should be deleted or anonymised through the relevant business and provider processes. Contact us if you need information about retention for a particular record or service.

Your rights

Depending on the circumstances, you may request access, correction, erasure, restriction or a portable copy of personal information. You may object to processing based on legitimate interests and withdraw consent where consent is the basis. These rights have conditions; for example, a deletion request does not necessarily remove records we must retain by law.

Send a request using the contact details above. We may ask for proportionate information to confirm identity and locate the records before disclosing personal information. We respond within the time required by law and explain any lawful extension or need for clarification. No particular form is required.

Automated checks and security

Payment and security providers may use automated checks to detect suspected fraud or decide whether a transaction can proceed. If an order or payment is affected and you think there has been an error, contact us so that we can investigate the store records and, where appropriate, help you reach the relevant provider. An unsuccessful payment is not itself proof of wrongdoing.

We use technical and organisational measures appropriate to the information and services involved. Access is limited according to the relevant role and purpose. No online service can guarantee absolute security. Protect account access and avoid sending sensitive credentials in support messages.

The store is intended for people able to enter into a purchase contract. If you believe that a child has provided information inappropriately, contact us so we can investigate and take appropriate action.

Privacy complaints

You can complain by email to support@randpfusion.shop, by telephone on +44 7911 281717, through our contact form or by writing to the registered office. Explain what happened, how it concerns your information and what outcome you are seeking. We do not require a special form or a fee to raise a complaint.

We acknowledge data-protection complaints within 30 days of receipt, make appropriate enquiries without undue delay, keep you informed as appropriate and communicate the outcome. We will explain relevant next steps if you remain dissatisfied.

You also have the right to complain to the UK's Information Commissioner's Office. See ico.org.uk/make-a-complaint for its current process. Nothing in our internal procedure removes that right.

Changes and separate websites

If our services or use of information change, we update this notice and provide further notice or obtain consent where required. Updating policy wording alone does not authorise a new purpose that requires consent.

Links to Etsy, payment providers or other separate websites lead to services with their own privacy and cookie practices. The terms for a marketplace order and its data processing should be checked on the platform where that transaction takes place.
